The Administrative Assistant provides a wide range of administrative support and reports to the Director of the Center for Spiritan Studies (CSS). This is a moderately difficult and varied clerical position requiring a self-starter comfortable with working in a research facility for the Spiritan Congregation worldwide and the Duquesne University Community. Work practices are reviewed on an ongoing basis and as circumstances dictate.
As a condition of employment, Duquesne University requires all new employees —full-time and part-time, including adjunct faculty—to get a COVID-19 vaccine and provide proof of their vaccination upon commencement of employment.

DUTIES AND RESPONSIBILITIES:
The Administrative Assistant provides general administrative support for the work of the Center and ensures smooth running of the center’s office to include, but not restricted to:
Assisting with proofreading, copyediting, and electronic preparation of CSS journal, Spiritan Horizons, published annually in three languages, English, French, Portuguese
Responsibility for the distribution, invoicing and tabulation of receipts for Spiritan Horizons
Similar responsibility for the production and distribution of other occasional Center publications
Assist with material for the digitized Spiritan Collection (Gumberg Library)
Content manager for the CSS pages on the university website
Developing and maintaining the Center’s research website, spiritanspirituality.com
Monitoring CSS budget (generate monthly P-Card reports, making budgeted purchases, issuing payments, processing fiscal matters as authorized, posting receipts) and submitting monthly reports to the Director
Coordination of logistics for CSS events (make arrangements with Public Affairs and other university constituents as needed - securing venues, arranging catering etc.)
Maintaining computer and written files
Maintaining an inventory of office supplies
Completes other duties as assigned
REQUIREMENTS:
Minimum qualifications:
High school diploma (minimum), graduate degree, an advantage
2-3 years of related office support experience
Proficiency with current Microsoft Office Suite: Word, Excel, PowerPoint, Publisher, and Outlook e-mail
Strong written communication skills and facility for proofreading
Willingness and ability to update to new technologies relevant to the position, such as InDesign; Photoshop, and PageCloud
Ability to learn Purchasing and Payroll systems at Duquesne, including Banner
Ability to maintain complex clerical records and prepare reports from such records
Ability and willingness to assist with office tasks as needed and an interest in and initiative for taking on new and challenging assignments
Ability to be service and team oriented
Ability to work with sensitive and confidential information
Ability to produce accurate work in an efficient manner.
