Position Summary
The Development Services Manager is responsible for all aspects of data management in support of development and engagement activities at Presentation High School. This position is also tasked with gathering, organizing, managing, and disseminating information to guide the sound planning and effective execution of development activities. Through the successful implementation of this role, the Development Services Manager will:
- Facilitate fundraising and stewardship through gift processing, constituent tracking, relationship management, research, data analysis, and fund management.
- Provide the essential infrastructure of the Development & Engagement enterprise.
- Position their front-line colleagues (fundraisers, alumni & parent engagement managers, etc.) for success in relationships with donors, potential donors, volunteers, and other supporters.
- Minimize risks by accurately recording and reporting fundraising information and by securely managing sensitive data.
- Understand, explain and apply all regulations and guidelines governing fundraising, gift processing, and gift accounting (IRS, CASE, FASB/GASB, etc.)
- Stay current with trends in Philanthropy and with the technical developments that apply to the profession; communicate and lead their organizations in applying these developments.
- Work in close collaboration and accordance with the business office to ensure proper compliance with local, state, and federal regulations.
Duties and Specific Responsibilities
Database Management
- Maintain an accurate database of all donors, alumni, prospects, and fundraising activity
- Comply with Development & Engagement goals, policies, and procedures to ensure the integrity, security, and confidentiality of database information
- Stay current with trends in philanthropy and with the technical developments that apply to the profession
- Process new and updated information into the database as needed
- Search for lapsed alumni
- Continuously improve the quality of alumni and donor data
- Manage the internal systems of prospect identification, cultivation, solicitation, and stewardship, with a strong emphasis on major gifts prospect management
- Ensure all team members have efficient, effective tracking systems to support their cultivation and solicitations
- Provide full services support for fundraising campaigns including tracking next steps, pledge commitments, solicitation strategy management and reporting, and donor recognition
Gift Processing
- Set up and manage online payment forms, processing, and acknowledgments of all gifts
- Collaborate with Finance Department to ensure accurate and timely reconciliation of donations and pledges
- Accurately record and report all fundraising information and securely and discretely manage sensitive data
- Manage administration & proactive solicitation of matching gifts
- Generate gift acknowledgments and pledge payment reminders
- Process gift deposits and credit card charges
- Interface with finance department and general-ledger accounting staff regarding gift entry, gift posting, fund creation, gift restrictions, and audit reporting
Data Integrity
- Ensure the integrity and security of the database information, implementing and utilizing best practices in alignment with the database standards
- Adhere to Presentation High School policies and procedures for data entry, research, reporting, and confidentiality
- Collaborate with Tech, Education, and Admissions teams to ensure the latest accurate family data.
- Recommend policies and procedures to secure the integrity and accuracy of data.
- Understand, explain and apply all regulations and guidelines governing fundraising, gift processing, and gift accounting (IRS, CASE, FASB/GASB, etc.)
Data Reporting
- Generate reports and lists that enable prospect identification and qualification, donor evaluation and recognition, and management of fundraising activity
- Extract information for the database to meet reporting and research needs
- Produce alumni and donor activity reports
- Develop donor prospect lists and analyze current donor lists for cultivation and solicitation
- Produce targeted mailing lists for communications, solicitations, invitations, and other purposes
Prospect Research
- Conduct prospect research
- Investigate financial/biographical status of individuals, corporations, and foundations
Education and Experience
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The items below represent the knowledge, skills, abilities, education, and experience required or preferred.
- Bachelor’s degree and a minimum of five year’s relevant experience and/or training, or equivalent combinations of education and experience in development services functions
- Advanced computer skills with Google Suite and data/database management
- Excellent skills with Raiser’s Edge database program, preferably including work at the strategic systems level
- Knowledge of fundraising principles and practices
- Support and understand the development process: identification, qualification, cultivation, solicitation, and stewardship
- Minimum 3 years project management experience and supervisory experience
