As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a Director of Advancement Operations to promote our Catholic Franciscan mission and identity with primary responsibility for reporting, data health and integrity, donor relations, endowed scholarships, and other operational and administrative functions. Reporting to the Executive Director of Advancement Relations, the Director of Advancement Operations supervises two team members.
Essential Duties & Responsibilities:
Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
Collaborate with department leadership and front-line development officers on operational support opportunities
Oversee the day-to-day operations of the advancement office
Prioritize activities, projects, and needs for the staff on the advancement operations team
Supervise the following professionals:
Advancement Operations Specialist (endowed scholarships and reporting)
Advancement Services Specialist (gift entry and managing lists pulled)
Serve as the main point of contact for emergency response protocol and preparation for the team
Maintain and update technology needs related to the advancement database, the Raiser’s Edge and RE-NXT
Serve as the primary point of contact and knowledge for the Raiser’s Edge database; provide ongoing training and support for staff and volunteers
Convert student records to alumni at the time of graduation or leaving Marian
Import new students and parents to the database annually at the start of the academic year
Control the creation of campaigns, funds, appeals, and scholarships in the database
Serve as the primary point of contact for database health and integrity
In partnership with the Executive Director of Leadership Giving, ensure appropriate policies and protocols are in place for prospect management; collaborate with prospect research consultants when needed
Approve payroll for hourly employees
Attend and assist with advancement and university events as requested
Partner with the Executive Director of Advancement Relations on managing departmental policies and procedures
Oversee the department budget and credit card expenditures
Prepare and analyze reports as needed
Seek to improve the department by incorporating new knowledge and best- or next- practices
Have a bachelor’s degree in a related field.
Have knowledge of and a commitment to the mission of Marian University.
Have two to five years of related advancement experience, preferably in higher education.
Have two to five years of experience in supervising full-time staff members.
Commit to collegiality and collaborative decision-making.
Have exceptional interpersonal and communication skills using verbal, written, and electronic mediums.
Be able to work both independently and in a team environment, often with limited direction.
Be willing to conform to shifting priorities, demands, and timelines through analysis and problem-solving skills.
Effectively prioritize and execute tasks in a high-pressure environment.
Be highly detail oriented and have an effective skillset in Microsoft Office programs.
Exhibit professionalism and high ethical standards for maintaining confidential information.
Understand that events and activities outside of work hours—including some nights and weekends—are necessary to perform the duties of this job satisfactorily.
