The Admissions Assistant serves as the receptionist and is responsible for the processing of approximately 800 applicants per year and the supervision of graduate student and work-study student support in various areas, including the timely processing of applications and requests for admissions information and campus visits.
This position reports to Assistant Dean, Graduate Enrollment Management.

Essential Functions Admissions and Financial Aid Communications and Processing (80%) Manages day-to-day operations of Admissions Office Supervises office graduate assistant and work study students Provides customer service to prospective students through a number of channels, including responding to both electronic and telephone inquiries and providing follow-up communications Assists with correspondence for Assistant Dean and Assistant Director with applicants In collaboration with Assistant Director, Financial Aid and Academic Services, manages document coordination for incoming international students In collaboration with Assistant Director, Financial Aid and Academic Services, coordinates acceptance mailings (paper and electronic) Responsible for editing, testing, and creating initiatives for electronic Slate application during Cycle Prep and application periods. Serves as primary assistance for applicants who are experiencing technical difficulties. Updates Slate interface as necessary to orchestrate decision letters, campus visits, interviews, and expedited decision requests. Serves as one of two STM Slate Superusers and part of Slate user governance group. Manages document coordination of electronic applications and process supporting documents Oversees process of creating files for current students Manages and reconciles enrollment deposits Collects FERPA permission forms from incoming students
Recruitment Coordination (20%) Schedules and coordinates logistics for Accepted Student Days and other on-campus student visits Coordinates with Event Management and other vendors for on-campus events Assists with follow-up to admitted students Attends and assists at all on-campus recruitment and yield events Coordinates travel advances and reimbursement for Admissions staff and Accepted Student Days Some recruitment travel, when appropriate
This position requires responding to inquiries related to all STM graduate programs. The Admissions Assistant must be able to solve problems, answer questions, and refer applicants to appropriate resources on campus on an ongoing basis. Work independently and determine priorities daily, meeting deadlines Assign student employees projects appropriate to their learning/work styles which requires excellent management and decision making skills. Maintain the highest level of customer service Maintain confidentiality, accuracy, and order in a position with a high frequency and volume of contact with the public Supervise student employees in a very busy, high traffic environment
Some weekend and evening work may be required during the busy recruitment and application periods during the year.
