Major Areas of Responsibility
The Admissions Office processes all enrollment and re-enrollment applications submitted. In addition, reviews school records and recommendations for each applicant, coordinating entrance assessment, scheduling student visits, maintaining databases for inquiries and applicants, which constitutes the core administrative work overseen by the Head of School.
In addition, the Admissions Coordinator will provide enrollment data to the School Advisory Board and the Diocese of Richmond - Office of Catholic Schools, send decision notifications, and prepare and distribute enrollment packages. After the admissions process is complete, the Coordinator is responsible for providing support to new families as they integrate into the school community.
Working with the Head of School and Business Manager, the Admissions Coordinator will serve on the Financial Aid Committee, provide financial aid information to new enrollees, and updates on potential Education Improvement Scholarships Tax Credits eligibility.
Communications and Public Relations:
The Admissions Coordinator helps develop messaging for, but not limited to, social media, website, and other marketing materials. The Coordinator plans and oversees admissions Open Houses, Catholic Schools Week and High School Information Night. The Coordinator also schedules and conducts tours for prospective parents and responds to a wide variety of external inquiries.
The Admissions Coordinator is responsible for maintaining close relationships with local schools in the Charlottesville area whose students apply for admission to Charlottesville Catholic School, particularly junior kindergarten or kindergarten programs that furnish kindergarten and first grade applicants. This includes maintaining a rapport with the directors of various schools, and developing knowledge of the various programs and academic qualities of sending schools.

Experience in independent school admissions, specifically Catholic schools, and familiarity with the special nuances of school admissions are prerequisites. Candidates should possess strong communications skills—with an emphasis on persuasive public speaking ability and strong writing skills—an ability to quickly establish strong rapport with both parents and children, and a healthy, balanced appreciation and understanding of the competitive features of admissions. With the increasing importance of data analysis in enrollment management, the successful candidate will also have a background and experience in demographic and enrollment analytics. Charlottesville Catholic School has a well-established process of admissions, but is looking for an innovative and creative thinker to expand recruitment. Demonstrated success in growing enrollment and familiarity with admissions trends and initiatives preferred. We seek an individual who shares our strong enthusiasm for the School and desire to lead efforts to recruit, enroll and retain mission-appropriate students and families. This role requires a responsive, action-oriented person who can operate both independently and as a vital team member within a fast-paced environment.
This demanding and satisfying position offers much opportunity to make a real difference to the school. This is a 12-month position that reports to the Head of School. This is an exempt position, which may require overtime and some weekends. Practicing Catholics are preferred.
